It&#8217;s 10:43 on a Tuesday, you&#8217;ve got one client on the desk phone wanting an update on a finance candidate, your mobile is buzzing with a hiring manager who needs to &#8220;talk urgently,&#8221; and there&#8217;s a third line flashing that you&#8217;re fairly sure is the candidate who ghosted everyone last Thursday suddenly deciding <em>now<\/em> is the moment to reconnect.<\/p>\n<p>Welcome to the job. After twenty-odd years of this, I&#8217;ve learned that handling multiple client calls isn&#8217;t about being some superhuman octopus with a headset. It&#8217;s about a few simple habits that stop the whole thing collapsing into a comedy of &#8220;sorry, who am I speaking to again?&#8221;<\/p>\n<p><strong>Never wing the handover between calls.<\/strong> The single fastest way to look unprofessional is to pick up a call still mentally stuck in the previous one. I keep a notepad &#8211; yes, actual paper &#8211; with a line for each live conversation. Name, company, what they want, where we left off. Ten seconds glancing at that before I answer saves me from the horror of confidently giving Client A the details meant for Client B. Trust me, that mistake only needs to happen once.<\/p>\n<p><strong>Set the expectation early.<\/strong> If I&#8217;m genuinely slammed, I&#8217;ll say so. &#8220;I&#8217;ve got two roles live for you and three other clients on the go this morning &#8211; can I call you back at half eleven with my full attention?&#8221; Most people respect that far more than half-listening to them while clearly typing something else. Clients can hear a distracted recruiter. It&#8217;s a very specific sound.<\/p>\n<p><strong>Triage like you mean it.<\/strong> Not every call is equally urgent, even if the caller would have you believe theirs is a national emergency. A client about to make an offer trumps a general &#8220;how&#8217;s it going&#8221; catch-up every single time. Part of the skill is sorting the genuine fires from the people who just like a chat. (We love you, chatty clients. We do. We just have an offer to get over the line.)<\/p>\n<p><strong>Take the two minutes between calls.<\/strong> This is the one nobody tells you. The temptation is to leap straight from one call into the next, but the people who do this best build in a tiny buffer to write the note, send the quick follow-up email, and reset. A call you don&#8217;t action straight away is a call you&#8217;ll half-remember wrong by lunchtime.<\/p>\n<p>The truth is, juggling multiple clients well is one of the things that separates a decent recruiter from a great one. Clients don&#8217;t just want results &#8211; they want to feel like they&#8217;re your only client, even when they&#8217;re demonstrably not. Pulling that off, day in and day out, is genuinely a craft.<\/p>\n<p>And if all else fails? Smile, breathe, and never, ever answer the phone with the wrong company name. I&#8217;ve done it.
