Why Busy Managers Need a Hiring Checklist
Hiring in Property and Construction is rarely straightforward. Projects don’t pause while you recruit, site visits continue, and client demands don’t ease because you’re a person down. For busy managers, recruitment can feel like another project competing for time you don’t have.
A practical hiring checklist brings structure to the process. It ensures nothing is missed, timelines stay realistic, and your recruitment partner has everything needed to introduce the right candidates quickly.
Step 1: Define the Role Clearly
Before you brief a recruiter or draft an advert, take time to define what you actually need. What are the day-to-day responsibilities? What are the non-negotiables – skills, tickets, experience? What does success look like in the first six months?
Equally important is salary. A realistic, competitive salary range based on current market conditions will determine whether you attract the candidates you need. Honest salary advice at this stage saves time later.
Step 2: Brief Your Recruiter Properly
A good recruiter needs more than a job description. Share context: why is the role open? What’s the team like? What’s your culture? What kind of person succeeds in your business?
The more detail you provide upfront, the better the candidates you’ll see. Every candidate we introduce at Howard James Recruitment has been spoken to and assessed, but that assessment is only as good as the brief we’re working to.
Step 3: Agree Timelines
When do you need to see CVs? When can you interview? When does the person need to start? Agreeing a realistic timeline with your recruiter keeps the process moving and helps manage candidate expectations.
If your diary is packed for the next three weeks, say so. It’s better to plan around your availability than to rush interviews or lose candidates because the process stalled.
Step 4: Protect Interview Slots
One of the biggest causes of delayed hires is diary chaos. Block time for interviews now, before your calendar fills with site meetings, client calls, and everything else that will inevitably come up.
Candidates in Property and Construction are often in demand. If they’re waiting three weeks for a first interview, they’ll likely accept another offer in the meantime.
Step 5: Prepare Your Team
If multiple people are interviewing, make sure everyone is aligned. What questions will you ask? How will you score or compare candidates? Who is responsible for showing them around, explaining the role, or selling the opportunity?
Candidates notice when an interview feels disorganised. A structured process improves their experience and gives you better information to make a decision.
Step 6: Check References Early
Don’t leave references until after you’ve made an offer. Build them into your process earlier – ideally between first and second interview, or as part of your final due diligence.
This reduces the risk of surprises and speeds up your ability to make a formal offer when you’ve found the right person.
Step 7: Have Your Offer Ready
Before you get to final interviews, know what you’re prepared to offer: salary, benefits, notice period, start date, contract type. If you need sign-off from a director or finance team, get it in advance.
When you find the right candidate, you want to move quickly. A delayed offer gives competitors time to step in.
Step 8: Plan Onboarding
Hiring doesn’t end when the contract is signed. A structured onboarding plan – covering the first day, first week, and first month – helps new starters settle quickly and reduces early attrition.
Think about who will meet them, what they’ll work on first, and how you’ll measure progress in the early weeks.
